Set up a mailbox as a tool

Admin

A mailbox tool connects one specific email account as a data source: the assistant can search it, read messages and attachments and — if enabled — send emails. You set this up in the Administration → Configured tools tab. For context see Configurable tools — overview.

  1. Select the account the tool refers to — exactly one mailbox per tool.
  2. Set the capabilities: read (search, read, download attachments) and optionally send; optionally also manage (mark, archive, create reply drafts). The default is read-only — sending must be enabled deliberately.
  3. Decide whether the tool is available in chat and/or for agents, and verify with the test function.
  • Read-only by default. Without explicitly enabled send, the tool cannot send anything.
  • Sending via the org SMTP relay. Enabled sending runs through the organisation’s secured SMTP relay with a recipient allow list — the assistant cannot write to arbitrary addresses.
  • One account per tool. No cross-account access.
  • Admin-only.

Note: A dedicated sender identity per tool is planned but currently not available; sending uses the central org relay.

Not to be confused with the assistant’s built-in email tools, which use an already configured account → Tools: email. The mailbox tool described here is a data source self-configured by administrators against a deliberately chosen account.
