Recommended settings before you start
AllCompanyWizard is running and has answered your first question. Before you bring many documents into the knowledge base, a few settings are worth a look: they strongly shape how the app works, but they don’t catch the eye right away. Each item points to an article with the details.
For administrators
Section titled “For administrators”You find these settings under the Admin menu item. If you use CompanyWizard as a single workstation, your account was created as an administrator during initial setup — so these items apply to you.
1. Metadata — before the big import
Section titled “1. Metadata — before the big import”Important: Adapt the metadata vocabularies before you import many documents or make larger changes.
The vocabularies under Admin → Metadata supply the pick lists for department, area, type, status, knowledge roles and language. The defaults are a general set in the language of the installation, not tailored to your organization. Two reasons argue for adapting them early:
- Visibility: knowledge roles and classification decide who sees a document. If the roles of documents and users don’t match, documents are missing from search and answers — without an error message.
- Later changes are expensive: values cannot be renamed, and CompanyWizard does not update values already assigned in existing documents. Every later correction hits every document individually.
→ Admin tab: Metadata (vocabularies)
2. Check the system settings
Section titled “2. Check the system settings”Admin → System Settings holds the central switches: which functions are allowed in chat (for example mail tools, Office documents or agent delegation), privacy and search, email sending and personal memory. Go through the list once and adjust whatever doesn’t fit your use.
Pay particular attention to “Enable Personal Memory (master switch)”: only while it is on (default: on) does the users’ profile take effect (item 5).
3. Set the system prompt
Section titled “3. Set the system prompt”Under Admin → System Prompt you set the base instruction that CompanyWizard prepends to every chat — role, tone and rules for your company. Keep it short: it costs tokens on every request.
4. Customize it for your company
Section titled “4. Customize it for your company”Under Admin → Customization you make CompanyWizard your brand: accent color, logos, application name, login page texts and your own links to imprint and privacy policy.
→ Admin tab: Appearance / white-label
For everyone
Section titled “For everyone”5. Fill in your own profile
Section titled “5. Fill in your own profile”Via the person icon at the bottom of the sidebar (“Edit your profile”) you set how the assistant should talk to you and what it should know about you — name, role, language, tone and free-form context. This applies in every chat and saves repeated explanations.
→ Your profile: details for the assistant
6. Unlock skills
Section titled “6. Unlock skills”Skills are initially not selected for new users. Open the Skills menu item, go to the “My Skills” tab and tick the skills you want to use. Only then do they appear for selection in chat.
→ Enable skills and use them in chat
