Archive a document or folder

User

When a document or a whole folder is no longer current, you do not have to delete it — archive it. The Archive action moves the item to the vault’s archive area with one click and remembers where it was. The content stays available and searchable but no longer shows up in the active tree. Archiving is a move — you can undo it at any time.

  1. Open the Knowledge Base — switch to the Knowledge Base via the sidebar and choose the vault.
  2. Select the item — in the folder tree, mark the file or folder you want to archive.
  3. Choose Archive — click Archive on the action row above the tree, or right-click the item (context menu).
  4. Done — the item is moved into the archive folder. A short confirmation (toast) reports success and the tree refreshes.
  • Archive folder: CompanyWizard reuses an existing archive folder (for example a 04 Archive named with a 04 prefix) — regardless of its exact numbering or language. If none exists yet, CompanyWizard creates a folder named 04 Archive (you can rename it later).
  • Original location preserved: The item’s full path is recreated beneath the archive folder. So 01 Projects/ProjectA/docs/note.md becomes 04 Archive/01 Projects/ProjectA/docs/note.md — you can always see where an archived document came from.
  • Clean move: Attachments come along, wikilinks are rewritten and the item is re-indexed — just like any move.
  • Reversible: Archiving deletes nothing. To bring an item back, move it out of the archive folder to its place again.
  • Already archived: If an item is already in the archive, archiving it again does nothing — a hint (toast) confirms this.
  • Write access required: The action only appears if you may write in the vault. In read-only vaults it is hidden. → Create a vault and grant permissions
  • Web and desktop: Archiving works identically in both modes.
  • Files and folders: You can archive single documents or entire folders; for a folder, all its content moves along.
