Import an email mailbox as a source
AdminA connected email mailbox can be used as a source to bring messages into the knowledge base with filters. Creating mailboxes is reserved for administrators; the import then happens from the Import page.
Prerequisite
Section titled “Prerequisite”The mailbox is created under Administration → Mailboxes and its connection test succeeded. → Email mailboxes
Step by step
Section titled “Step by step”- Open Import — go to the Import page and choose the Email tab.
- Choose a mailbox — select the account from the configured mailboxes.
- Set filters — narrow messages by time range and sender so only relevant emails are imported.
- Choose a target — set the vault / knowledge base to import into.
- Start the import — the selected messages are read in and then become available in the knowledge base (and thus for RAG).
Good to know
Section titled “Good to know”- Protocols: IMAP, POP3, Exchange/EWS (on-premises) and Microsoft 365 (Exchange Online). A Microsoft 365 account must have gone through “Connect with Microsoft” once in the administration, otherwise the Import page reports an error when fetching.
- POP3 has no folder selection; duplicates are detected via the Message-Id.
- Credentials are stored encrypted; users see mailboxes read-only.
- A mailbox can also serve as an agent source (an agent with the email source adapter).
